Hot, Warm, Cold: WizeForm's Lead Scoring System Explained
WizeForm gives every contact form submission a clear priority level — Hot, Warm, or Cold — so you always know which leads deserve an immediate response and which can wait.

Why three tiers work better than numbers or stars
A 0–100 lead score sounds more precise than three categories, but in practice people make decisions in buckets: do I respond now, do I respond later, or do I not respond today? A precise numerical score requires you to decide what threshold separates urgent from non-urgent — and that threshold changes with volume and context. Three tiers are immediately actionable without any interpretation.
WizeForm's Hot/Warm/Cold system maps directly to the three natural priority levels in a sales or support workflow. Hot means respond within the hour. Warm means respond by end of day. Cold means respond when you have capacity or let it queue. Every person who receives a WizeForm notification immediately understands what the score requires of them — no training needed.
The color coding reinforces this: red for Hot, amber for Warm, blue for Cold. In the WizeForm dashboard, the visual differentiation makes the submission list scannable at a glance. You see the distribution of your leads immediately — heavy in Hot means a busy day, heavy in Cold means a form that might need adjustment.
The signals behind each WizeForm score
Hot submissions carry explicit commercial intent. The AI looks for budget figures or ranges mentioned in the message, timeline language that indicates urgency ('need this live before our launch next month', 'evaluating options this week'), specific technical or product requirements that suggest a real project in progress, and enterprise context signals like company name, team size, and named decision-makers. Any combination of these raises a submission to Hot status.
Warm submissions show genuine, qualified interest without the urgency signals that trigger a Hot classification. A developer asking detailed integration questions, a business owner exploring pricing without a stated deadline, or a product manager comparing options — these are Warm. They deserve a timely response, but they're not at the point of an imminent decision. WizeForm identifies them accurately because it's reading intent, not just keywords.
Cold submissions are low-signal inquiries that provide little commercial context. Very short messages like 'how much does it cost?', generic information requests, submissions from addresses that provide no professional context, and questions with no specificity about what the person actually needs. These go into the Cold queue. They may still be worth responding to, but not at the expense of Hot leads.
Getting the most accurate WizeForm scores for your forms
The most important thing you can do to improve WizeForm scoring accuracy is add a free-text message field to your form. A form that captures only name and email gives the AI almost no signal to analyze — every submission will score Warm or Cold by default, not because WizeForm is wrong, but because there's no information to distinguish a high-intent inquiry from a casual one.
Adding a 'Tell us about your project' or 'How can we help?' textarea field gives WizeForm's AI the raw material for a meaningful score. Budget or timeline fields add further signal. Company or job title fields help establish professional context. The richer the data your form captures, the more confidently WizeForm can classify each submission.
If you're getting scores that consistently don't match your perception of the submissions, review the form fields you're capturing and consider whether they give the AI enough to work with. WizeForm is designed to score accurately on limited data, but it performs best when the form is designed to capture intent, not just contact details.
